    Accounts Payable Dashboard Configured as a Home Page Widget

    The Accounts Payable Dashboard can be configured as one of the Main Home Page Widgets for users with permissions to create, approval, reconcile, or manage invoices. 

    Configure the Accounts Payable Dashboard as a Home Page Widget in the Admin Control Panel at USERS > Manage User Permissions and select a Permission Name.

    Create Invoice

    The Accounts Payable Dashboard features two icons for creating invoices.

    The first allows creation of a PO-based invoice.

    The second allows creation of a non-PO-based invoice and displays only to users with permission to create a non-PO-based invoice.

    1. For a grid displaying Purchase Orders available for Invoice creation, click on Create PO Invoice
    2. To create an Invoice from a specific Purchase Order, enter the PO number and click on the arrow.
    3. To create a Non-PO Invoice, click on that icon.

    Approve or Reconcile Invoices

    The Approve Invoices icon is available to users who have permission to Approve Invoices. 

    The Reconcile Invoices icon is available to users who have permission to Reconcile Invoices.

    Access a listing of all Invoices Pending Approval for the user by clicking on the Approve Invoices icon.

    Access a listing of all Invoices needing the user's Reconciliation by clicking on the Reconcile Invoices icon.

    Invoices Due and Overdue

    Users and administrators may use the three icons: Invoices Overdue, Unapproved Invoices Due, and Invoices Due for oversight and management purposes.

    The default number of days for each of these is 7. 
    Each icon allows the user to enter an integer to change the number of days due or overdue to access a list of invoices due or overdue during time frame they specify.

    Note

    the value specified for each of these three icons must be an integer.

    1. To display a list of Invoices Overdue, specify a number of days overdue and click on the arrow
      The Invoice grid displays with filters for Invoices Pending Approval or Reconciliation Needed which are overdue for the number of days specified.
    2. To display a list of Unapproved Invoices Due, specify the number of days the invoices are due within and click on the arrow.
      The Invoice grid displays with filters for Invoices Pending Approval or Reconciliation Needed due within the number of days specified
    3. To display a list of Invoices Due, specify the number of days the invoices are due within and click on the arrow.  
      The Invoice grid displays Invoices due within the dates specified. 

    Invoice Reports

    Reports are available to users with the permission set for Enable Analytics Access

    Clicking the Reports icon displays the Good Data Reporting > P2P Payables Analytics tab and the available reports for invoices.

    1. Reports may be specified by Date and Supplier.
    2. The Payable Snapshot reports the Total Number of Invoice Lines, the Total Invoice Amount, and the Total Unpaid Invoices amount for the Date and Supplier specified.
    3. The PO Liability Report displays a graph showing Total Paid Invoices and Total Unpaid Invoices by Supplier.
    4. The Invoice Aging Report displays a graph showing Invoices at age milestones: more than 30, 60, 90, and 120 days.
    5. The Invoice Accruals by Supplier report displays a graph showing total of unpaid invoices by Supplier. 
    6. Use the Back button to return to the BuyerQuest Marketplace. 

    Configure Reports and Export Data

    Configuration and Export of AP Dashboard Reports are available from the icons in the upper right corner of the Reports.

    1. The Default View may be created and saved.
    2. Configure the time, content, and frequency for emails sent by the Reports Module by clicking on the Clock icon. 
    3. Prepare a printable PDF by clicking on the Printer icon. 
    4. Edit the report or export to PDF or spreadsheet format by clicking on the Wheel icon.
