    Overview

    BuyerQuest supports automatic reordering of a product or service through its subscription order feature. Buyers can set up a subscription order on an item-by-item basis and let the system automatically create requests for items at the quantities and intervals specified.

    Subscribe and Add to Cart

    Subscriptions can be created for one item at a time and are created on the product details page using the Add to Cart & Subscribe button. The user must specify quantity and frequency for reorder for the subscription. 

    Users with the permission to create subscriptions will see the Add to Cart & Subscribe button for enabled and in stock products available to their Content Group. The subscribe feature is available to properly permissioned buyers who have valid shipping, billing, and accounting values set as defaults. If valid defaults are not available, the user will be reminded to update them before being able to create a subscription. 

    Note
    Subscriptions are available for enabled, in stock or back-ordered/pre-ordered products from Suppliers whose Payment Method is set to None or Centralized Settlement.

    1. Click Add to Cart & Subscribe to add the item to the current cart and to create a subscription for its automatic reorder.
    2. The Quantity and Frequency (in Days) of the subscription must be specified.
    3. Add completes adding the item to the cart and also creates a subscription for the item. 

    Subscription Confirmation

    A confirmation message displays in Marketplace each time an item is added to a cart and a  subscription is created.

    Manage Subscriptions in MY ACCOUNTS

    View and manage all your subscriptions from one location at MY ACCOUNTS > Manage Subscriptions.
    Subscriptions are listed by date, with the most recently created subscription listed first.

    1. Sort and Filter subscriptions using the column heads Product Details, Price, Qty, Frequency, Last Order Date and Next Order Date.
      Default sorting is by the most recent Last Ordered Date.
    2. Use the Edit button to make changes to a subscription.
    3. Qty and Frequency may be changed. 
    4. Update to save changes.
    5. Last Order Date and Next Order Date will reflect changes made in a subscription. 
    6. Use Remove to cancel a subscription and remove it from the Manage Subscriptions list.

    Products with linked items display the linked item icon.

    Multiple Subscriptions Set for Product or Service

    When an item is added to a subscription multiple times in one day the system uses the configuration for Merge Line Items in Manage System Configurations > Marketplace > General Configuration > Shopping Cart Options to determine how the subscription is managed. 

    • If Merge Line Items is Yes and the frequency selected is the same each time the item is added. the item is added once to the subscription list on that day. Quantity is updated each time the subscription is added. 
    • If Merge Line Items is Yes and the frequency selected is not the same each time the item is added, or If Merge Line Items is No, the item is added as a separate subscription each time it is added to the list. 

    Requests Created for Subscription Items

    A Request is created for a subscription on each order date, according to the frequency of reorder for the subscription. 

    All subscription orders for a user to be ordered on the same day will be included in the same Request.

    The Request title will be {User's Name} Subscription Request on {Date} 

    Requests Not Created For Subscription Items

    Requests cannot created for subscription items when one of the following conditions occurs:

    1. Product is no longer available because
      1. Product is disabled;
      2. Product is out of stock;
      3. Catalog change resulted in the product no longer being available to the user's Content Group;
    2. Supplier's payment method was changed to direct settlement;
    3. Invalid shipping, billing, or accounting information. 

    Email Notifications Sent when Product not Included in a Request

    Email notifications are sent to Requestors when a product cannot be included 

    When a product is not available, its subscription is removed and the requestor is sent an email informing them of the removal.
    The item must be added to a subscription when it becomes available again. 

    When shipping, billing, or accounting information is incomplete or invalid, the item is not added to a request.  The requestor receives an email stating that automatic ordering will be resume when the necessary information is provided. 

    When a system issue occurs that prevents the creation of the request, the requestor receives an email advising them to create a request.
