Credit Memo Reconciliation Rules Management
Overview
By navigating to BuyerQuest Network > Credit Memos, a supplier user can view Credit Memos that have been previously created.
Credit Memos may also be accessed from the invoices and purchase orders they are related to in the grids for those documents. Purchase Orders, Invoices, and Credit Memos are accessible from the Payables area of the Home Page Menu. Access is governed by permissions and content group.
Credit Memo Grid
You as a supplier user can do the following In the Credit Memo grid page:
- Search by Credit Memo or Purchase Order Number.
- Use the Filters to quickly locate a Credit Memo.
- Create a Credit Memo from an Invoice or Purchase Order.
View Credit Memo Detail Page
In the Credit Memo Detail page, a supplier user can view information and provide comments to a Credit Memo:
- The status of the Credit Memo is shown next to its ID.
- Edit Credit Memo or View Related Records available for the Credit Memo, such as Invoice or Purchase Order.
- Review General Information at the Header level such as status, creation date, due date, remittance address, shipping address of the PO.
- Review information for Line Items.
- Choose between Summary and Detail view for Line Items, as needed.
- View Taxes and Shipping.
- View any available Attachments.
- View and Post Comments.
- Review the History of the Credit Memo.
Create a Credit Memo
You can create a Credit Memo from the Credit Memos grid or from an Invoice or Purchase Order with a status providing eligibility for Credit Memo creation.
Invoice Reconciliation Rules may be configured to be re-evaluated for related Invoices when a Credit Memo is created manually or via cXML.
Exceptions may be configured to be auto cleared when the rule is re-evaluated and the condition for the rule is no longer true.

Create Credit Memo from Invoice or Purchase Order
Create a Credit Memo from an Invoice or Purchase Order by clicking on Create Credit Memo option available from the ACTIONS column.
Review and Complete Credit Memo Information
The Create Credit Memo form displays with Credit Memo Information provided by system defaults from the PO or Invoice it is originating from.
Required fields are marked with an asterisk. Modification on some fields is possible, if so needed.
- Provide a required Credit Memo Number.
- Review and modify the Credit Memo Date.
- Review and modify the details for Remit To, Shipping, Ship From, and Billing.
- Review and modify the Line Item Details.
- Review and modify Taxes, Shipping, Handling, and Discounts.
- Provide Attachments, if needed.
- Provide Comments, if needed.
- After Credit Memo Information has been reviewed and all necessary changes made, Submit to Create the Credit Memo.
Upon submission, notifications will be sent to supplier and buyer with status and pertinent information.
